Microsoft 365 backup & ransomware recovery

Microsoft's shared-responsibility model puts your M365 data on you. When ransomware, retention gaps or a mis-click hit, an independent backup puts it back — and we help you choose and deploy the right one.

The risks

What can go wrong

Ransomware & malicious encryption

Modern attacks encrypt OneDrive, SharePoint and Teams files then wait out native retention. The solution holds clean, isolated copies outside your tenant.

Insider mistakes & accidental deletion

Emptied mailboxes, purged Teams channels, wiped SharePoint sites — all recoverable to any point in time, not just the last 30 days.

Retention gaps & legal holds

Native M365 retention is complex, per-workload and permissive. The solution keeps an authoritative, immutable archive with clear audit trails.

Departing employees

When a licence is released, native mailbox contents disappear. The solution retains user data independent of licence state.

Coverage

What the solution protects inside Microsoft 365

Exchange Online

Mailboxes, folders, calendar items, contacts, tasks, notes — item-level restore back to the original mailbox or a new one.

OneDrive for Business

Every file version, shared link and metadata preserved. In-place restore or download.

SharePoint Online

Sites, lists, libraries, permissions, versioning — recover a single file or an entire site collection.

Microsoft Teams

Channel messages, private chats, files, tabs and channel structure — including deleted channels.

Groups & Planner

Group membership, plans, tasks and buckets restored alongside their host workloads.

OneNote

Notebooks, sections and pages captured with full-fidelity restore.

Recovery

How recovery works

1. Locate

Search across mailboxes, sites and channels by user, keyword, date range or file type — no admin console needed.

2. Preview

Compare versions side-by-side before restoring. Confirm exactly what will be written back.

3. Restore

Push to the original location, a new user, or download as an archive. Restore keeps folder structure, permissions and metadata intact.

Compliance

Compliance mapping

  • GDPR — data subject requests, right-to-erasure, EU data residency
  • ISO 27001 — control A.12.3 (backup) and A.17 (business continuity)
  • NIS2 — evidence of tested recovery procedures for essential services
  • SOC 2 — availability and processing-integrity criteria

FAQ

Frequently asked

Doesn't Microsoft back up my M365 data?

No. Microsoft guarantees platform availability, not customer-data preservation. Retention windows are short (30 days by default for many workloads) and don't protect against ransomware or malicious deletion.

How fast is recovery?

For a single item, seconds. For a full mailbox or site, minutes to hours depending on size. The platform doesn't throttle restores.

Where is the backup data stored?

On EU-based infrastructure by default, with encryption at rest and in transit, and physical separation from your production tenant.

Can we restore to a different user or tenant?

Yes. Cross-user and cross-tenant restore is supported — useful for offboarding, M&A migrations and disaster scenarios.

Do you protect Teams private chats?

Yes, including 1:1 DMs, group chats, message threads and shared files, subject to admin authorisation.
